A shortage found during a stock count requires investigation. Inventory loss and employee theft are not interchangeable descriptions. Turning an unexplained difference into an accusation can make review harder and unnecessarily damage working relationships.

Clarify the terms first

ECR Retail Loss research on inventory record accuracy explains that differences between recorded and physical stock can involve theft, damage or administrative errors. This does not identify the cause of a discrepancy at a particular factory. It supports examining the evidence in each case.

The business should confirm that it is comparing the same product and period. Warehouse, finance and dispatch documents may describe different units or stages of a transaction. A security report cannot, on its own, perform that entire technical and commercial reconciliation.

Keep security observations clear and bounded

Distinguish what an officer observed, when it happened, the record consulted and the person notified. Reporting a documentary inconsistency is different from stating that theft occurred. The first can describe an observation; the second requires supporting evidence and authorised assessment.

Preserve the history of corrections and do not turn missing information into retrospective certainty. Teams contributing to a review should identify their findings and the points they cannot establish. This does not diminish the security service; it makes its records more understandable and useful.

Leave investigations with the responsible functions

Human resources, legal, internal audit and operational management decide what review is needed within their respective responsibilities. The security assignment should not be presented as covert investigation or unlimited search authority. Access to, disclosure of and retention of personal information and records also require assessment.

The duty plan can identify whom officers contact about unclear material releases or inconsistent documents. This directs the issue to an authorised decision-maker rather than treating every employee as a suspect. Notifications during an urgent crime or security incident do not replace the functions of the competent authorities.

Useful questions for the service discussion

  • What material-movement checks are expected from security personnel?
  • Who decides when operational documents do not agree?
  • How will observations be linked to the stock review?
  • What information is needed to close an outstanding matter?

Discussing these duties with Titan Savunma can help align the site service with the organisation's recording arrangements. The aim is a traceable assignment and reporting process, rather than a promise that all inventory losses will disappear.
